Terms and Conditions of Service
Whitworth Veterinary Practice Ltd

1. General
These Terms and Conditions apply to all services provided by the Practice. We are committed to delivering high-quality care and maintaining transparency in all our dealings with clients.

2. Registration
Clients must register with the Practice before any treatment is given. Accurate and complete information must be provided, including your pet’s medical history, where applicable.

3. Appointments
Consultations and treatments are available by appointment only. Emergency cases will be prioritised, which may lead to unforeseen delays. We appreciate your patience and understanding.

4. Missed Appointments & Cancellations
Please provide at least 24 hours’ notice if you are unable to attend your appointment.
- A £25 fee will be charged for missed appointments without adequate notice.
- Repeated missed appointments may result in limitations on booking future services.

5. Fees and Payment Terms
All fees must be paid at the time of service, unless otherwise agreed in advance with the Practice Manager.
- We accept payment by cash, credit/debit card, or approved bank transfer.
- Invoices not settled on the day of treatment:
  - Will incur a 5% surcharge if unpaid after 60 days.
  - May be referred to a debt collection agency, and any associated costs will be passed on to the client.
- If you are unable to pay at the time of treatment, please speak with the Practice Manager prior to your appointment to discuss possible options.

6. Pet Health Scheme
We offer a Pet Health Scheme for a fixed monthly fee, which includes routine preventative healthcare and exclusive discounts.
Full details of the scheme, inclusions, and terms are available on request or via our website.

7. Estimates & Treatment Plans
Estimates for treatment will be provided upon request. Please note these are approximate, and actual costs may vary depending on your pet’s condition and response to treatment. Significant changes will be discussed whenever possible.

8. Insurance
We strongly recommend pet insurance.
- Clients are responsible for settling invoices and claiming reimbursement from their insurer.
- Direct claims may be considered by prior arrangement only and are subject to an administration fee.

9. Prescriptions & Medications
Repeat prescriptions require pets to be examined regularly to ensure safe and appropriate use.
- Written prescriptions are available upon request; a fee will apply.
- Please allow 48 hours’ notice for repeat medication requests.

10. Data Protection
We are committed to protecting your personal data under the UK GDPR and Data Protection Act 2018.
Information is used solely for the provision of veterinary care and will not be shared without your consent unless required by law.

11. Consent
By bringing your pet to the Practice, you consent to examination and treatment as deemed necessary by our veterinary team. Written consent will be obtained for surgical procedures and specific diagnostics.

12. Ownership of Clinical Records
Clinical records, test results, and diagnostic images remain the property of the Practice. Copies may be provided upon request and with appropriate consent.

13. Complaints
We aim to resolve any concerns promptly and fairly.
If you are dissatisfied with any aspect of our service, please raise the matter with the Practice Manager as soon as possible, either in writing or in person.

14. Liability
The Practice will take all reasonable precautions in caring for your pet. However, we accept no liability for loss, injury, or death unless directly caused by proven negligence.
